External Gifts

Role: Company Admin
Production URL: External gifts

External gifting is currently available in development and alpha. It is hidden in demo and production. The production URL above identifies the route when the feature becomes available there.

External recipients are kept separately from employees. External gifting works in every giving mode and does not require Employee Gifting or a Corporate Giving budget.

Enable external gifting

  1. Open Company → Settings → External gifting (settings route).
  2. Turn on Allow external gifts.
  3. Set Votes per recipient from 1 to 3 using the numeric step control. The default is 3. You can also configure this value before turning gifting on.
  4. Choose Save to apply both settings. Editing the toggle or number field does not save changes. The vote limit applies to newly created external gifts and updates gifts that are still Pending. Active, paused, completed, and cancelled gifts keep their existing limits. Changing the limit does not change gift statuses or votes already cast.

The setting starts off. To turn it off, change the toggle and choose Save. Saving this change asks for confirmation. Confirming cancels all pending, active, and paused external gifts, including votes already cast on active gifts. No payout or cancellation email is created. Completed and cancelled history and recipient records remain. Cancelling the confirmation saves neither setting; your edits remain in the form.

Schedule a gift

  1. Open External gifts, then choose Invite external recipient.
  2. Enter the email first (up to 100 characters), then leave the field to check for an existing recipient. Their saved name and language fill in unless you have already edited those fields. For a new recipient, enter their name (up to 200 characters) and choose their language.
  3. Enter a gift title (up to 50 characters) and a budget of 1–999,999 DKK.
  4. Open the single date-range field, select the opening date first, then select the closing date, as in employee individual gifting. The opening date must be no earlier than tomorrow and the closing date must be at least two days after it. You may add a personal message (up to 200 characters) and media.
  5. Submit the form. The confirmation identifies the recipient and scheduled opening date.

The form uses the same controls and layout as employee individual gifting, while retaining the external recipient's name, email and language. Cancel and Invite stay at the bottom of the drawer as you scroll. The media preview initially shows the same default image as employee gifting. To add media, choose Edit on the preview card, then upload an image, choose a recently uploaded image from the history picker, or select an animation. Image history is shared with employee gifting within your company. Select the same animation again or use the preview's remove button to clear it and restore the default preview. Media and the personal message remain optional.

Scheduling creates a Pending gift. Daily processing changes it to Active once its opening date arrives, while the gift window is still open, external gifting remains on, and the recipient is active. This release does not yet send an invitation, allow voting, or pay out funds.

An existing recipient is matched by email within your company, ignoring surrounding spaces and letter case. Their saved name and language are retained unless you explicitly change them. A deactivated recipient must be reactivated with confirmation before another gift can be scheduled.

A pending or active gift for the same person cannot overlap the new gift. Sharing a closing/opening calendar day also counts as an overlap. After the email lookup finds an existing recipient, those occupied dates are disabled in the calendar. A selected range also cannot span an occupied period. Changing the email clears the previous exclusions and loads the new recipient's dates when you leave the field. The server checks for overlaps again when you submit. An active employee's primary or verified secondary email in your company cannot be used for an external gift; employment at another company does not prevent it.

Review gifts and recipients

The Gifts tab opens by default. It shows recipient name/email, title, budget, voting dates, status, and number of votes. Search by recipient name or email, filter by status, and use paging to browse results.

The Recipients tab shows each recipient's name/email, gift count, latest gift status, and whether terms have been accepted. Use paging for further records.

Both tables are read-only. The page remains available after external gifting is turned off if the company has gift or recipient history. Scheduling requires the setting to be on. With the setting off and no history, the navigation entry is hidden.
