Voting Periods

What voting periods are

A voting period is a defined window of time during which your employees vote on which charitable campaigns receive a share of your company's donation budget. When the period closes, the budget is distributed proportionally based on how many votes each campaign received.

How to manage voting periods

  1. Go to Company → Voting Periods.
  2. Use the Company tab for regular corporate giving periods, the Individual tab for individual gifting periods, and the Calendar tab for a combined month view of both.

Actions available by period status

Period statusWhat you can do
PendingUpdate dates or amount, delete, or start the period. Starting sends invitation emails to all employees.
ActiveBoost the amount (add more budget), or complete the period early. Completing early triggers the same donation processing as a natural close.
CompletedReview results and share them on social media (available when at least one vote was cast).

You cannot start a pending period while another period is already active. Complete or close the active period first.

Boosting a period

You can add extra budget to an active period at any time:

  1. Open the active period's action menu and select Boost.
  2. Enter the additional amount.
  3. Choose whether to notify employees by email that the budget has increased.
  4. Save.

The boosted amount is added to the period total and included in the final vote allocation calculation.

Sharing results after a period closes

When you complete a period that received at least one vote, a share dialog appears automatically with a social media preview showing the top campaigns selected. You can also share previous periods from their action menu.

Email summary after a period closes

Every active company admin receives an email as soon as a period's results are ready — you don't need to open the portal to see how it went. If at least one vote was cast, the email includes the total amount donated, the participation rate (share of active employees who voted), and a breakdown of donations by cause. If no votes were cast, admins receive a shorter summary email instead.

Individual Gifting Periods

The Individual tab shows gifting periods created automatically by Actnation based on your configured gifting triggers. Depending on status, you can:

Calendar view

The Calendar tab shows a one-month view of all your company's voting periods and individual gifting periods together, so you can see everything scheduled at a glance instead of switching between tabs.

  • Each event is labeled with its type and date range — voting periods read as Voting Period {start date} – {end date}, and gifting periods read as {Title or gifting type} – {employee name} {start date} – {end date}.
  • Events are colored by status (for example, Active periods and Completed periods each have their own color), not by period type.
  • Clicking an Active or Completed event takes you straight to that period's details page. Pending, Cancelled, and Paused events are not clickable.
  • Use the previous/next controls to move between months and Today to jump back to the current month. Week numbers are shown along the left edge of the calendar.
  • The calendar always shows the full set of periods for the current view — there's no separate filtering or pagination on this tab.

Troubleshooting
